Role Overview
The PMO Senior Associate plays a critical support role within the COS office, ensuring smooth execution of strategic initiatives, program governance, and cross‑functional coordination. The role supports the Chief of Staff by managing project operations, preparing executive‑level reporting, enabling governance processes, and ensuring timely delivery across workstreams.
This role requires strong organizational skills, excellent communication, and the ability to work with senior stakeholders.
Key Responsibilities
1. Project & Program Coordination
· Support end‑to‑end coordination of COS-led programs, initiatives, and workstreams.
· Track progress, milestones, risks, and issues; ensure timely updates and follow‑ups.
· Maintain PMO artefacts including project plans, RAID logs, trackers, templates, and action logs.
· Facilitate PMO governance meetings by preparing agendas, taking minutes, and closing actions.
2. Executive Reporting & Documentation
· Consolidate inputs across teams to build cohesive program updates.
· Ensure reports follow COS/PMO standards for accuracy, consistency, and clarity.
· Assist in getting the timesheets booked by account/ engagement
· Setting up and running the Fortnightly Employee Communication Calendar
· Follow up with Finance team for monthly billing and any variances
3. Stakeholder Engagement & Communication
· Drive timely communication, status updates, and clarifications across workstreams.
· Support the COS in preparing leadership briefs, talking points, and communication notes.
4. Operational Governance & Process Support
· Ensure adherence to PMO governance processes, operating rhythms, and compliance standards.
· Conduct regular health checks on project documentation and maintain audit‑ready records.
· Participate in process-improvement initiatives and help streamline workflows.
5. Data Management & Insights
· Collect, validate, and analyse program data to identify trends, risks, or blockers.
6. Cross‑Functional Collaboration
· Coordinate with HR, Finance, Operations, and Tech/Delivery teams on COS-driven programs.
· Support knowledge management, best‑practice documentation, and lessons learned.
· Assist the PMO Manager/COS with ad hoc analysis, research, or governance tasks.
