Your work profile

The RFP Support senior consultant will establish and operationalize a GCC-led RFP support capability, responsible for driving standardized, efficient, and compliant sourcing execution across RFx processes. The role will enable business units (BUs) with high-quality sourcing support, leveraging best-in-class processes, digital tools, and analytics to ensure speed, transparency, and value realization in sourcing project setup, supplier selection, negotiations, contracting, and analytics. The role will contribute to global sourcing excellence by managing end-to-end RFx lifecycle activities, improving supplier engagement, ensuring governance, compliance, and enabling data-driven decision-making across procurement function.

Key responsibilities for the Sr. Consultant will include:

1. RFP Preparation & Strategy

•           Manage requirement intake and scope discussions with business stakeholders

•           Drive stakeholder alignment on sourcing objectives, timelines, and evaluation criteria

•           Conduct market intelligence gathering to support sourcing strategies and supplier positioning

•           Support supplier longlisting and shortlisting based on category strategy and risk considerations

•           Provide inputs into sourcing strategy (global vs local sourcing, single vs multi-supplier, etc.)

2. RFP Documentation & Issuance

•           Draft and structure RFP events using standard templates and tools

•           Customize RFP templates, including commercial and technical sections; Execute RFP issuance through sourcing platforms (Ariba, Coupa, Ivalua, etc.)

•           Define evaluation frameworks (technical and commercial criteria) aligned to sourcing goals

•           Manage documentation governance including NDA execution and compliance requirements

•           Ensure adherence to procurement policies, standard templates, and contracting guidelines

3. Supplier Outreach

•           Design and execute structured supplier outreach strategies for sourcing programs, supplier scouting, and RFx execution

•           Develop standardized outreach templates, communication protocols, and playbooks

•           Ensure comprehensive supplier coverage across categories, regions, and program requirements

•           Partner with category and sourcing teams to align outreach strategy

•           Support execution of high-volume outreach campaigns with consistency and quality

•           Monitor outreach progress, follow-ups, and supplier response timelines

4. Bid Management & Supplier Coordination

•           Act as the single point of contact for bidder interactions during RFP lifecycle

•           Manage supplier queries and clarifications in a structured and transparent manner

•           Track bid submissions, completeness, compliance checks, and timelines adherence

•           Coordinate addendum/corrigendum issuance where required

5. Evaluation & Award Support

•           Support commercial bid analysis and benchmarking

•           Consolidate technical evaluations from cross-functional stakeholders

•           Perform TCO (Total Cost of Ownership) and cost modeling analysis

•           Prepare award recommendation documentation and business case summaries

•           Ensure audit trail, documentation integrity, and compliance with governance standards

6. Contract Template & Documentation Management

•           Manage and maintain contract clause libraries and standard templates

•           Drive template standardization across categories and BUs

•           Maintain version control and audit-ready documentation

•           Track and manage contractual deviations and approvals

•           Ensure alignment with legal, compliance, and risk frameworks

7. Governance, Compliance & Reporting

•           Ensure RFP processes comply with global procurement policies and regulatory requirements (MedTech compliance standards)

•           Provide visibility into bottlenecks, delays, and response gaps across outreach programs

•           Identify and flag process deviations, risks, and compliance gaps

•           Maintain RFP pipeline tracking, cycle time metrics, and SLA adherence

•           Develop and publish dashboards on RFP performance metrics (cycle time, participation rates, savings, etc.)

•           Enable data-driven insights to improve sourcing efficiency and effectiveness

8. Digital Enablement & Continuous Improvement

•           Leverage digital procurement tools and automation (Ariba, Coupa, AI-driven sourcing tools)

•           Drive process standardization and continuous improvement initiatives

•           Support implementation of touchless RFx execution and guided sourcing workflows

•           Identify opportunities to reduce cycle time, improve supplier experience, and enhance compliance

Key Objectives

·      Establish a centralized governance framework for end-to-end RFP lifecycle management across business units (BUs)

·      Enhance visibility, compliance, and control over RFP opportunities, submissions, and ongoing pursuits

·      Define an evaluation framework for RFPs, including timeline adherence, quality metrics, and success KPIs

·      Enable leadership with data-driven insights on pipeline, bid performance, and win/loss trends and savings/benefits tracking

·      Drive effective stakeholder engagement and review mechanisms to improve responsiveness, collaboration, and bid quality

  • RFP lifecycle is fully governed, visible, and controlled across business units
  • Centralized and structured RFP repository to ensure easy access and reuse of responses
  • Leadership has high confidence in RFP data and reporting by BU, with performance visibility
  • Risk exposure is proactively managed (commercial, compliance, etc.)
  • Processes are standardized and scalable across geographies
  • Achieve sustained behavioral change (consistency, accountability) in RFP management
  • Improved bid efficiency, quality, and compliance across submissions
  • RFP KPIs and performance metrics are clearly defined, tracked, and reviewed regularly

Functional

·      CLM / ERP systems: SAP, Ariba, Coupa, Icertis etc.

·      Analytics tools: Excel, Power BI, Tableau

·      Data handling: Large dataset processing, data transformation tools

·      Exposure to workflow automation tools and digital reporting

Analytical & Tools

  • Hands-on experience with ERP systems (SAP/Ariba/Coupa preferred)
  • Ability to translate data into actionable insights

Stakeholder Management

  • Experience working across global stakeholders and multiple BUs
  • Strong communication and influencing skills
  • GCC/Procurement CoE empowering Business Units experience

Key skills required

·      Global Pharmaceutical, MedTech, or Consumer Goods (FMCG/CPG) organizations

·      Exposure to multi-BU / global operating models

·      Understanding of RFx management, approval workflows, and compliance frameworks

·      The ideal candidate will possess direct experience supporting Global Services, specifically within the domains of Invoicing and Payment Reporting

Technical Exposure

·      Preferred exposure to Globality and Keelvar

·      ERP systems: Any among SAP, Ariba, Oracle, Coupa, Ivalua

·      Analytics tools: Excel, Power BI, Tableau

·      Familiarity with automation and AI-driven procurement tools

Qualifications

·      ~5–8 years of relevant experience in procurement, sourcing, or RFx execution

·      Strong exposure to global procurement environments (MedTech, Pharma, FMCG/CPG preferred)

·      Proven experience in RFQ/RFP lifecycle management and sourcing tools; S2C and Strategic Sourcing process knowledge

·      Experience in multi-BU/global operating models and CoE structures

·      Advanced knowledge /subject matter expertise of Procurement processes and applications

·      Proven stakeholder management and coordination skills

·      Experience working across global stakeholders, multiple BUs, and cross-functional teams (Legal, Finance, Procurement)

·      Automation: Basic familiarity with automation / AI-enabled contract analysis tools

·      Exposure to workflow automation tools and digital reporting

·      Bachelor’s degree (B. Com / BBA / BMS or equivalent)

·      MBA / master’s degree (preferred)

·      Certification in Procurement/Sourcing (CIPS, CPSM – good to have)
